How to Choose a POS System for Your Café or Restaurant

Most café POS decisions come down to speed at the counter and whether everything talks to everything else. Here's what actually matters — and what's just a feature list.

A café runs on speed and repeat customers. The POS you choose either supports both quietly, or gets in the way of both every single day. Most owners pick on price or on a long feature list — but the real test is simpler: can it bill fast during a rush, and does everything talk to everything else? Here's how to choose without regretting it in three months.

Start with the counter, not the features

During a rush, the only thing that matters is how fast a bill goes out. A POS that needs six taps and two screens to add an item will slow your busiest hour, every day. Before anything else, test the billing flow yourself: how many actions to take an order, apply a modifier, split a bill, and print or share the receipt. If it's not fast and keyboard-friendly, nothing else about it will save you.

What a modern café POS should actually do

Beyond billing, a café or restaurant system earns its place when these work together rather than as separate tools:

  • Fast, keyboard-first billing for dine-in, takeaway and delivery
  • QR ordering that flows straight into the same system — not a separate app to reconcile
  • Kitchen order tickets or a kitchen display (KOT/KDS) so orders reach the kitchen without shouting
  • Digital menus you can update in seconds, including price and availability
  • GST-ready invoicing you can print or share
  • Live inventory and low-stock visibility, updated from every sale
  • Customer records and loyalty so repeat visits are tracked, not forgotten
  • A daily dashboard — sales, top items, and what happened today

The one-system test

The biggest hidden cost in café tech is disconnected tools — billing in one app, QR menu in another, inventory in a third. If they don't share data, you've bought yourself a monthly reconciliation job. Favour one connected system over a stack of clever apps.

QR ordering: useful, but only done right

QR ordering can cut order-taking trips and speed up tables — but only if the order lands in the same system as billing, inventory and the kitchen. A standalone QR menu that emails you orders is worse than no QR at all. We wrote about doing it properly in how QR ordering works for cafés and restaurants.

Common mistakes to avoid

  • Buying on feature count instead of counter speed.
  • Choosing hardware-locked systems when your needs may change.
  • Ignoring what happens to your data if you switch later — you should be able to export it.
  • Paying for modules you'll never switch on, while the basics stay slow.

Questions to ask any vendor

  • How many actions to complete a typical bill?
  • Do QR orders and the kitchen run on the same system as billing?
  • Is the billing GST-ready, and can I share receipts digitally?
  • Can I export my sales and customer data if I leave?

This is exactly the thinking behind KhaoPiyo, our café POS and operations platform — billing, QR ordering, kitchen, CRM and loyalty in one connected system, built for counters that can't slow down. If you're evaluating options, talk to us or try it live.

What is the best POS system for a small café in India?

The best one is whichever bills fastest at your counter and keeps billing, QR ordering, the kitchen and inventory in a single connected system. Feature lists matter far less than speed and everything sharing the same data.

Does a café POS need to be GST-ready?

Yes — for cafés and restaurants in India, the POS should produce GST-ready invoices you can print or share. Check this before buying; retrofitting compliant billing later is painful.

Do I need QR ordering for my restaurant?

It helps most in high-footfall, quick-turnover venues where fewer order-taking trips are worth more than table-side service. It fits poorly in fine dining. If you add it, make sure orders flow into the same system as billing and the kitchen.
